Idepoo Viana (trading as Idepoo) undertakes to use your information only for the purposes set out here. This policy covers idepoo.com, its forms, the price estimator and the client portal at my.idepoo.com.

1. What we collect

What you enter yourself

Contact, consultation and demo forms — your name, telephone number, email, organisation and the text of your message.
The price estimator — your answers to the estimator's questions, used to calculate a range. If you give no contact details, those answers are not attributed to you.
The client portal — account details, and your project records: contract, deliverables, invoices and support tickets.

What is recorded automatically

Technical information — IP address, browser and operating system, and time of access.
IP recorded for rate limiting. To prevent bulk submissions, the site's forms apply a per-IP rate limit, and the IP address is held temporarily for that purpose. It is used for nothing else.
Activity log. Actions taken by internal users and clients in the portal — approving a deliverable, raising a ticket — are recorded with a timestamp and an IP address. This is for security and accountability.
Cookies — to keep your preferences, such as light or dark theme, and where used, for traffic analysis.

What we do not collect: we do not take or store payment details such as card numbers or banking credentials on this site.

2. Why we use it

To answer your enquiry and provide advice or an estimate
To provide and support the services and software you have bought
To run the client portal and show you project status, invoices and tickets
To improve the site and our services
To keep the site secure and prevent misuse
To tell you about services, only where you have asked us to

3. Sharing with others

We do not sell your information.

It is shared only in these cases:

Technical providers necessary to run the service — hosting, email and SMS delivery — and only to the extent that work requires.
Legal obligation, where a competent authority requires it under law.

4. Retention and security

Information is held on secure servers and access is restricted by role and permission. Internal access to client data is recorded in the activity log.

How long we keep it: data that is no longer needed is deleted automatically on a schedule.
